Draft vs Recorded Invoice

CDR2Cloud allows you to classify Invoices as either a Draft Invoice or a Recorded Invoice. By default every Invoice is created with a Draft Status. This means that if you create a new Invoice, select a customer for the Invoice and add at least one Invoice Item without explicitly saving the Invoice as either a Draft or Recorded Invoice, the Invoice is automatically saved a as Draft Invoice.
The difference between a Draft and Recorded Invoice can be described as follows:
DRAFT Invoice | A Draft Invoice is an Invoice that is created for the purpose of providing a customer with a quotation and there has been no commitment from your customer to purchase the items on the Draft Invoice. Draft Invoice Totals are not Debited to the customers account. A Draft Invoice can be converted to recorded Invoice at any time. When a Draft Invoice is converted to Recorded Invoice, the Invoice Total is immediately Debited to your customers account balance as their is now a commitment from your customer to purchase the items on the Invoice. Draft Invoices when viewed in PDF format or Printed will have a "DRAFT" water mark indicator located on the top middle portion as shown in the image below: click to view |

RECORDED Invoice | A Recorded Invoice is a final version of an Invoice containing items which your customer has committed to purchasing. The total value on a Recorded Invoice is immediately debited to your customers account balance. A Recorded Invoice can be converted to a Draft Invoice at any time. When a Recorded Invoice is converted to a Draft Invoice, the Invoice Total is credited back to your customers account as there is no longer a commitment to purchase the products. |
